Meeting Rooms
Meeting rooms are available for hire for community use at the Corio (Phone 5275 2388) and Newcomb (Phone 5248 1802) Branches. Please phone the branches to book or print out the application form at the bottom this page and mail or fax to the appropriate library.

Fees are effective from 1 July 2008
- Set-up time must be included in Booking and will be charged at the same rate.
- A Bond of $100.00 may be required. This is refunded on satisfactory inspection of hall / meeting room and return of key.
- Keys are to be collected and returned promptly to the appropriate Branch in opening hours.
- Certificate of Currency of public liability insurance is required, as per Conditions of Hire, from Regular Users.
- Vacuum cleaner available for hire from the library. $5.50 hire fee & $45.00 refundable deposit.
- No invoice will be sent for any payment less than $20.00, payment required when collecting keys.
- Pre payment or purchase order must be supplied by low usage users.
DEFINITIONS: Community Concession Rate - Groups/Organisations that don't receive any funding or grant money Community Rate - Groups/Organisations receiving funding or grant money Commercial Rate - Businesses, Commercial Groups, Profit Organisations Regular User - 5 or more times per year
Conditions of Hire
Bookings Bookings are considered tentative until receipt of a completed application form and all monies.
Key Collection To be collected during library hours, prior to function or by arrangement. To be returned within 48 hours.
Bond The bond is security for any damage to the building and/or breach of conditions of hire. The total bond will be refunded to the hirer within seven (7) days after the function, provided the hirer has complied with all aspects of the conditions of hire. Should the cost of repairing damage to the property exceed the bond, the hirer shall pay the additional costs. The cost of extra cleaning as a result of the function will be deducted from the bond. An account for additional costs will be forwarded within 30 days.
Cancellation Any alterations to or cancellations of a booking will only be accepted if made at least 14 days prior to the date booked. If these cancellation conditions are not complied with, payment will be forfeited.
Permits Liquor - Hirers are requested to contact the Victorian Liquor Licensing Body, Consumer Affairs on 1300650367 to determine if a licence is required. Gaming - Appropriate permits must be obtained by the hirer. All permits must be signed by the booking office and bookings are subject to the appropriate permits being arranged. Sundays - Functions held or continued on Council premises between 1.00am and midnight Sunday are subject to the provisions of the Sunday Entertainment Act and hirer(s) must obtain a permit as required by the Act. Performing Rights - The hirer hereby indemnifies the Library Corporation against any claim for breach of copyright.
Insurance Short Term and Casual Hire (24 hour period) The Hire includes Public Liability Insurance cover for $5 million with an Excess of $100 for property damage only. Any enquiries regarding public liability to the Greater Geelong City, Risk Managment Section.
Long Term and Regular Hire The User/Hirer/Lessee must take out a Public Liability Policy for a Minimum of $5 million in the joint names of Council and the User/Hirer/Lessee. The Insurance must have a cross liability clause and a waiver of subrogation clause. A certificate of currency should be provided to Council prior to the commencement of any Hire and the signing of any Lease/Agreement.
Damage The floors, walls, curtains or any other part of the building or any fittings or furniture, shall not be damaged. The hirer will take steps to ensure their patrons will not cause damage or defacement. Failure to adhere to the above may result in loss of bond (refer to BOND).
Indemnity The Hirer agrees to indemnify and keep indemnified and to hold harmless the Council, its servants and agents and each of them from and against all actions, costs, claims, charges, expenses and damages whatsoever which may be bought or made or claimed against it by any of them arising out of or in any way related to the granting of this licence and/or the use of the Premises. Council is not responsible for any theft, loss, damage or injury suffered by the hirer or any guest or invitee of the hirer, or any person coming on the premises during the period of hire, and the hirer indemnifies the Council in respect of all claims for loss, damage or injury caused by any person or property during the period of hire, or as a result of the use by the hirer of the premises.
Liability The Hirer must-(a) remain on the premises whilst visitors/patrons are in the building; (b) keep premises locked when unoccupied; (c) be responsible for orderly conduct and safety of patrons; (d) maintain the premises in a clean and safe condition for the duration of the term of hire.
Please Note The use of speed enhancers on floors is strictly forbidden.
Council Access/Limit of Hire Authorised Regional Library and Council Officers are entitled access to all buildings regardless of bookings. Council also reserves the right to hire any portion of the building other than the areas stated on the application form. The Regional Library Corporation reserves the right to cancel any booking if the hall is required in respect of an election or referendum for Local Federal or State Governments. If it is necessary to cancel any booking, the Regional Library will attempt to find an alternative venue or date.
Kitchen The Hirer of the kitchen(s) shall leave it in a tidy condition and shall immediately remove all rubbish, refuse and waste water into the receptacles provided. On completion of the function, table tops must be cleared and wiped and the premises must be left in a clean and tidy condition.
Decorations The use of confetti, streamers or similar articles of decoration or amusement is prohibited. Decorations may only be fixed to the hooks provided in the building. No Sellotape, blue tac, pins etc., are to be attached to painted surfaces. All decorations must be removed at the end of the function. If this is not carried out, the costs will be deducted from the security bond.
Setting up/pack up The Hirer has the responsibility for setting up and clearing away all equipment to its original location, unless arrangements have been previously made to engage Regional Library staff to carry out this work at a cost. Please do not drag furniture or equipment across floor, use trolley(s) where provided. Setting up time must be stated on the application form and all packing up should be completed immediately on termination of function.
Security Service Regional Library reserves the right to request external security for functions.
Emergency Exits All emergency exit doorways and passage ways should be left clear at all times.

Call Outs There will be a fee of $60.00 for call outs where keys have not been picked-up for functions.
Breaches The Regional Library reserves the right to expel person(s) or terminate the function due to any breach of condition of hire and/or misconduct by patrons.
